The resort PMS for islands, packages and transfers

Packages, outlets, meal and activity redemption, ferries and land transfers, all working from one guest record.

Overview

One system from the airport to check-out

The booking engine, front office, outlets, package redemption and transport logistics share one guest record. A voucher printed, a meal redeemed or a table moved at one counter appears on every other screen straight away.

Running daily at a 270-room island resort

The system runs day-to-day operations at an island resort of around 270 rooms, with more than 25 outlets, its own boats and land transfers. It suits island and dive resorts, eco-resorts and full-board or all-inclusive hotels.

Challenges

Where resort operations lose time and money

  • Paper meal and activity vouchers

Vouchers get lost, copied or passed to non-guests, and nobody can say what was actually redeemed against each package.

  • Transfer lists kept by hand

Boat lists and airport pick-up lists live in spreadsheets, so drivers, boat crew and the front desk work from different versions.

  • Outlet bills that never reach the room

A drink at the bar or a dive trip charged to the room is missed when the outlets and the front desk use separate systems.

  • Packages priced and tracked by hand

Inclusions, extension nights and adult, child and infant pricing are worked out booking by booking.

  • Queues at the jetty

Guests wait while staff find their booking, write their boat and print a pass by hand.

  • Equipment that goes missing

Snorkel sets and towels go out without a record, and nobody knows who still has them at check-out.

Key features

Everything a resort runs on, in one system

Built for resorts where the stay starts at the airport and ends at the jetty. What a guest buys is exactly what they redeem, every outlet charge reaches the folio, and every counter sees the same live booking.

  1. Packages and inclusions

Sell 3D2N or 2D1N packages and extension nights, priced per guest type, and define the meals, activities, transfers and equipment each one includes.

    • Add-ons sold with the booking or on their own
    • Peak, weekend and holiday surcharges
    • Infant and senior entitlements shown automatically
  2. Buffet meal redemption

Breakfast, lunch and dinner entitlements are worked out from each guest's package and stay. One meal per guest per day, so vouchers cannot be passed on.

    • No breakfast on arrival day, breakfast only on departure day
    • Lunch before check-in and breakfast after check-out on the same day
    • Buffet seating by meal session
  3. Activities and equipment

Snorkelling, diving and other activities are redeemed by checked-in guests only, and rented equipment is tracked until it comes back.

    • Redeem, return and missing tracking for snorkel sets and towels
    • A return-only mode for late returns
    • Pool and towel rental counter
  4. Ferry operations

Boats, crew, jetties and schedules, with guests assigned to each boat within its capacity.

    • Self check-in kiosk at the jetty that prints QR boarding passes
    • Live check-in counts on the jetty screen
    • Walk-in and bulk transfers for staff, charters and day visitors
  5. Land transfers

Routes between the airport, bus station, town and jetty, with vehicles, drivers and a land transfer report grouped by route and pick-up time.

    • Driver assignment straight from the report
    • Printed transfer vouchers with print tracking across every screen
  6. Multi-outlet POS

Restaurants, bars, the gift shop, spa, dive centre and mini bar on one POS, with table maps and kitchen order printing.

    • Charge to room with the guest list, package and outlet remarks on screen
    • Discounts, voids and refunds with supervisor approval
    • Steamboat and banquet table booking
  7. In-house list for every outlet

Each outlet sees one line per room for the day, with the package, guests, group and remarks for that outlet, and can message the front office.

  8. Front office and folios

Arrivals, in-house guests and departures on one dashboard, with several folios per booking, room key tracking and the night audit.

    • Guest-facing tablet for ID scans and arrival cards
    • Payment after check-out
  9. Reservations and allotments

Multi-room bookings on a drag-and-drop tape chart, with agent allotments, close-outs and automatic release of unpaid bookings.

    • Group bookings with folio transfer
    • Travel agent portal with contracted rates
  10. Finance and compliance

Deposits, payments and charges post to the folio, and invoices, receipts and payments sync to SQL Accounting.

    • E-invoice ready, with TIN, MSIC codes and submission status
    • Tourism tax and tax incentive reports
    • SST and service charge in the POS
  11. Reports for every department

More than 100 built-in reports, from the daily briefing to boat schedules, meal redemption, equipment outstanding and outlet sales, all exportable to PDF.

Business benefits

What changes when every counter shares one guest record

  • Packages that run themselves

Define what each package includes for each guest type, and every meal, activity and transfer is tracked from booking to redemption. No paper vouchers, no leakage.

  • Built for remote destinations

Ferry boarding passes, a jetty self check-in kiosk, land transfer vouchers, driver assignment and boat capacity are part of the system.

  • Every counter, in real time

The front office, outlets, jetty and transfer desk see each print, redemption and change the moment it happens.

Who it is for

How it works

From booking to check-out, in four steps

  1. Step 1

    Book

Guests book rooms, packages, add-ons, transport and boat seats on your multilingual website and pay through iPay88. Agents book through their own portal.

  2. Step 2

    Prepare for arrival

Guests or agents submit the name list, ID documents and photos online, with reminders 7 and 2 days before arrival. Transfer vouchers and boarding passes are ready to print.

  3. Step 3

    Arrive and stay

Guests print their own boarding pass at the jetty kiosk, sign the arrival card on a tablet and check in. Outlets redeem package meals and activities and charge extras to the room.

  4. Step 4

    Check out

The folio already holds every charge. Settle the bill, issue the receipt or e-invoice, and the sale syncs to SQL Accounting.

Questions we are often asked

Who is the resort PMS designed for?
Island and dive resorts, eco-resorts, full-board and all-inclusive hotels, and resorts with several outlets or their own boats and shuttles. For a hotel without packages or transfers, see our Hotel PMS.
How does package redemption work?
You define what each package includes for each guest type. The system works out each guest's entitlement: no breakfast on the arrival day, breakfast only on the departure day, and one meal per guest per day. Activities can only be redeemed by checked-in guests.
How do ferry boarding passes work?
At the jetty kiosk, guests scan their QR code or enter their booking reference and print their own boarding pass, showing the passenger, boat number, boarding time and jetties.
Can drivers be assigned from the transfer report?
Yes. The land transfer report groups pick-ups by route and time, and drivers are assigned straight from it. Every voucher print is logged.
Can outlet bills be charged to the guest's room?
Yes. Outlet staff look up the room, see the guest list, package and remarks, and the guest signs on screen. The charge posts to the folio straight away.
Does it work with SQL Accounting and LHDN e-invoice?
Yes. Invoices, receipts and payments sync to SQL Accounting, and each sale carries its e-invoice details and submission status.
